The changes mentioned below are tentatively scheduled to go live on September 23rd, subject to successful completion of testing and confirmation that there are no issues impacting the production release.
1. Audio/Video Call – Low Network Connectivity Alert
HealthArc has enhanced the Audio/Video calling experience to help users identify network-related issues that may affect call quality.
What’s New?
Network Quality Detection: The system monitors network conditions, including potential jitter, during an active Audio/Video call.
In-Call Alert: When poor network connectivity is detected, a visible notification will appear directly on the call screen.
Call Quality Warning: The notification will inform the user that call quality may be affected due to network connectivity.
Non-Disruptive Notification: The alert will not interrupt or disconnect the ongoing call.
Consistent Experience: The notification follows the same approach as the existing low-connectivity alert available elsewhere in the HealthArc portal.
How It Works
Start an Audio/Video call as usual.
HealthArc continuously monitors network conditions during the call.
If poor connectivity or jitter is detected, a warning appears on the call screen.
The user can continue the call while being aware that network conditions may be affecting call quality.
Benefits
Provides real-time visibility when network conditions may affect call quality.
Helps users distinguish potential network-related issues from application issues.
Allows users to take corrective action, such as checking their internet connection.
Improves transparency around Audio/Video call quality.
Keeps the ongoing call uninterrupted while providing the necessary warning.
2. Care Plan 2.0: Enhanced Lifecycle, Versioning & Approval Workflow
HealthArc has enhanced Care Plan 2.0 with a more structured lifecycle for Initial and Monthly Care Plans, improved version tracking, approval workflows, and review history. These updates provide greater flexibility for care teams while maintaining historical records and auditability.
What’s New?
1. Clear Initial & Monthly Care Plans
Care Plans are now clearly categorized as Initial Care Plans or Monthly Care Plans.
Only one Active Initial Care Plan and one Active Monthly Care Plan can exist for each patient-program combination.
Care Plans created using Pull from Previous Care Plan are automatically classified as Monthly Care Plans.
Monthly Care Plans are automatically named “Monthly Update – Month Year.”
2. Clear Care Plan Status
Care Plans can now be marked as either:
Active – The Care Plan is currently being used and can be updated as needed.
Completed – The Care Plan has been finalized and is no longer active.
Workflow
For a patient, once an Initial or Monthly Care Plan has been created, users can keep the Care Plan Active while making necessary updates throughout the month.
The Care Plan remains Active and editable throughout the month as changes are needed.
Once the Care Plan is finalized and no further changes are required, users can mark it as Completed.
A Completed Care Plan is considered finalized and can no longer be edited.
Example:
Create Care Plan → Keep it Active → Make updates throughout the month → Mark Completed once finalized.
3. Simplified Care Plan Creation
Creating an Initial Care Plan for a New Patient: When creating an Initial Care Plan for a new patient, you will see the available creation options:
When creating an Initial Care Plan using Create from Scratch or Create Using Template, users must enter a unique Care Plan Name.
Creating a Monthly Care Plan When an Initial Care Plan Already Exists: Once an Active Initial Care Plan exists for a patient, the following options will no longer be available for creating a Monthly Care Plan:
Create from Scratch
Create Using Template
To create a Monthly Care Plan, users must select Pull from Previous Care Plan. This allows the new Monthly Care Plan to be created based on the existing Care Plan.
Creating a New Care Plan When Existing Care Plans Are Active:
When a patient already has one Active Initial Care Plan and one Active Monthly Care Plan, the options to create another Care Plan will be blocked.
Users must first complete the existing Active Care Plans before creating new ones.
Once an existing Care Plan is marked Completed, the relevant options to create a new Care Plan will become available.
This workflow ensures that there is only one active Care Plan at a time for each Care Plan type during the month.
The intention is to have the current month’s Care Plan finalized by the end of the month, so the system is ready for creating the new Monthly Care Plan for the following month.
3. Care Plan Locking
The previous Lock functionality has been removed.
A Care Plan will only become locked when it is intentionally marked as “Completed.”
Care Plans with Approved or Published status will remain editable.
Users can continue to make updates to an Approved or Published Care Plan until it is finalized and marked Completed.
Once marked Completed, the Care Plan is locked and can no longer be edited.
4. Care Plan Completion
Once a Care Plan is marked Completed:
It becomes permanently locked.
It can no longer be edited.
It cannot be moved back to Active.
5. Major & Minor Versioning
Care Plan versions now provide clearer visibility into changes:
Major Version
Created when a new Monthly Care Plan is generated using Pull from Previous Care Plan.
Example: 1.0 → 2.0 → 3.0
Minor Version
Created when an Approved/Published Care Plan is edited.
The previous approved version remains available in Review History.
Example: 1.0 → 1.1 → 1.2
6. Review History
A new Review History option allows users to view previous Care Plan versions.
Historical versions include:
Version Number
Approval Date
Published Date
Modified By
Modified On
Approval Status
Reviewer
Care Plan snapshot
Historical versions are read-only and cannot be edited.
7. Pull from Previous Care Plan
The Pull from Previous Care Plan workflow has been expanded.
Users can now select from Care Plans regardless of their status, including:
Draft
Published
Approved
Completed
This provides greater flexibility when creating a new Monthly Care Plan.
Example Workflow
1. Create the Initial Care Plan
Create the Initial Care Plan for the patient.
Once approved/published, it becomes the Active Initial Care Plan.
This Initial Care Plan remains available as the patient’s initial plan.
2. Create a Monthly Care Plan
When it is time for a monthly update, select Pull from Previous Care Plan.
The system creates a new Monthly Care Plan automatically.
It is named “Monthly Update – Month Year.”
This creates a new Major Version.
Example: 1.0 → 2.0
3. Edit an Approved Monthly Care Plan
If an approved/published Monthly Care Plan needs to be changed, edit the Care Plan.
The existing approved version is preserved in Review History.
The working Care Plan moves back to Draft.
Any further changes are tracked as a Minor Version.
Example: 2.0 → 2.1
4. Review Previous Versions
Select Review History to view previously approved versions.
Historical versions are read-only and cannot be edited.
5. Complete the Care Plan
Once the Care Plan is marked Completed, it is permanently locked and cannot be edited or reactivated.
Simple Versioning Example
Initial Care Plan: 1.0
↓
Monthly Care Plan created from previous: 2.0
↓
Monthly Care Plan edited after approval: 2.1
↓
Another edit: 2.2
↓
Next Monthly Care Plan created: 3.0
3. Bulk Medication Upload – Care Plan 2.0
What’s New?
Care Plan 2.0 now makes it easier to add multiple medications for an individual patient. Instead of entering each medication manually, users can download a predefined medication template, enter the medication details, and upload them all at once.
How It Works
While creating a Care Plan:
Navigate to the Medications section.
Click Bulk Upload Medications.
Download the Bulk Upload Medication Template.
Enter the required medication details in the template.
Upload the completed template back through the Medications section.
The medications will be automatically added to the Care Plan, eliminating the need to enter each medication individually.
Upload Notifications
Once the upload is processed, an email notification will be triggered to let you know if any medications were not successfully uploaded.
The email will include:
Which medication(s) were not uploaded.
The reason for the unsuccessful upload, so you can review and make the necessary corrections.
📌 Coming in a Future Phase
The current enhancement supports bulk medication upload for one patient at a time.
The ability to bulk upload medications for multiple patients simultaneously is being considered for Phase 2 of Care Plan 2.0.
Benefits
Saves time when adding multiple medications.
Reduces repetitive manual data entry.
Makes medication entry more efficient during Care Plan creation.
Provides visibility into any medications that could not be uploaded and why.
